What information we collect and why
When you enquire or sign up for a course
We collect your name, phone number, email address, and any information you submit via our contact or booking forms. We use this to respond to your enquiry or process your booking. The legal basis is legitimate interests and, where a contract is formed, contractual necessity.
When you become a member
We collect your name, address, date of birth, phone number, email address, emergency contact details, and relevant medical information. Where applicable, we also record your Archery GB membership number, coaching qualifications, and DBS check status. This information is necessary to manage your membership safely, meet our safeguarding obligations, and comply with Archery GB requirements.
Access to sensitive data such as medical information and DBS records is restricted to those who need it for club administration purposes.
The legal basis is contractual necessity and, where medical or sensitive data is involved, explicit consent.
Payment information
Payments are processed securely by Stripe. We do not store your card details. As part of processing membership renewals, we retain a Stripe customer reference against your membership record to manage recurring payments. Stripe’s privacy policy is available at stripe.com/gb/privacy.
Transactional Emails
We send transactional emails relating to your membership – such as application confirmations, approval notices, and renewal reminders – using our membership management system. These are delivered via Brevo (formerly Sendinblue) acting as our email delivery provider. Brevo processes your email address and message content for delivery purposes only. Their privacy policy is available at brevo.com/legal/privacypolicy.
Club news and updates
If you are an existing member, we may contact you with club news and updates via Mailchimp. The club secretary manages this mailing list manually. You can unsubscribe at any time using the link in any email we send, or by contacting us directly. The legal basis is legitimate interests.

We use Google Analytics to understand how our site is used. This involves the use of cookies and may collect information such as your IP address and browsing behaviour on our site. We also use Google reCAPTCHA on our contact and application forms to protect against spam and abuse. reCAPTCHA collects hardware and software information and sends it to Google for analysis. See the Cookies section below and Google’s privacy policy at google.com/policies/privacy for more detail.
