Who we are
City of Chester Archers is an archery club based in Cheshire. We are the data controller for the personal information we collect and process.

What information we collect and why
When you enquire or sign up for a course
We collect your name, email address, and any information you submit via our contact or booking forms. We use this to respond to your enquiry or process your booking. The legal basis is legitimate interests and, where a contract is formed, contractual necessity.
When you become a member
We collect your name, address, date of birth, emergency contact details, and relevant medical information. This is necessary to manage your membership safely and effectively. The legal basis is contractual necessity and, where medical data is involved, explicit consent.
Payment information
Payments are processed securely by Stripe. We do not store your card details. Stripe’s privacy policy is available at stripe.com/gb/privacy.
Email communications
If you are an existing member, we may contact you with club news and updates via Mailchimp. You can unsubscribe at any time using the link in any email we send. The legal basis is legitimate interests.
When you visit our website
We use Google Analytics to understand how our site is used. This involves the use of cookies and may collect information such as your IP address and browsing behaviour on our site. See the Cookies section below for more detail.
Sharing your information
We share data with the following third parties where necessary:
Archery GB – as a condition of membership, your details are registered with Archery GB, the national governing body. Their privacy policy is available at archerygb.org.
Stripe – to process payments securely.
Mailchimp – to send member communications.
Google – analytics data is processed by Google. See google.com/policies/privacy.
We do not sell your personal data. We do not share it with any other third parties except where required by law.
Junior members (under 18)
Where a member is under 18, we collect information about them with the consent of a parent or guardian. We take extra care in handling data relating to children and do not use it for any purpose beyond club administration and safeguarding.
How long we keep your data
We keep membership records for the duration of your membership and for up to three years afterwards, in line with standard club administration practice. Enquiry and booking data is kept for up to 12 months. Payment records are retained for seven years for accounting purposes.
Your rights
Under UK GDPR, you have the right to:

Request correction of inaccurate data
Request deletion of your data, where we have no legal obligation to retain it
Object to or restrict how we process your data
Withdraw consent at any time, where consent is the basis for processing
